-          I was working closely with the Implementation Manager from Deloitte who was responsible for Venetia Mine implementation. I provided him and his team of consultants with information required for integration between legacy system and the SAP system. For example, in the procurement of services process, authorisation was required based on the value of the service and the role of the person responsible for authorisation. I asked the team for information on how the release strategy (authorisation) in SAP works, and then I mapped the legacy information into the SAP system structure to ensure all responsible for authorisation are assigned with correct levels of authorisation.

 

-           In the mine I was a member of steering committee for the project which was focused on keeping track of the progress. My role was to communicate with customers on the progress of processes that will affect them and what they will need to do to prepare themselves. For example, at the time closer to implementation, I advised them to make more orders for their requirements than they normally do so that on the day the legacy system is switched off, they’d still have enough stock as they were anxious of what SAP will bring. Manual processes were put in place, and I explained to the customers how they worked.

 

-          Because the implementation was for the entire De Beers group, a shared services contact centre was established in the headquarters in JHB where integration tests were conducted. On many occasions I was travelling between Musina and JHB for performing those tests and give feedback to the supervisor and customers.

 

-          A SAP call centre was established on site with the necessary equipment where both the Implementation Manager and his team of consultants were located to assist and provide support to the customers during the transition. This centre was set up for a certain period, so I liaised with my supervisor to allow me to be part of that team so the customers can at least hear a familiar voice when they call and I’d getting learning in the process.

 

-           An ITSM system was installed, which is a call logging system in which all the SAP calls are recorded so trends can be picked up and reporting can be done. As a Systems Administrator I was responsible for logging calls and conduct trend analysis and forward the log to the shared services centre.

 

-          With SAP there was new naming conventions, I assisted in the formation of document that explains SAP meanings that correspond with naming from the legacy system.

 

-          When the consultants support team’s term came to an end, me and my counterparts formed a mine-based SAP user forum, which was responsible for looking into continuity as far as support was concerned. We provided support and keeping trends, and escalated the call in areas where we couldn’t assist.

 

-          I started giving training end-users on processes that related to their jobs. With my patience of being able to train users individually, I brought confidence

 in my customers in using SAP because at first they were not so sure about it and were a bit reluctant in using it.

 

-          I was also responsible for user administration where I determined roles users should have based on their jobs. I documented user application forms for audit purposes. Documentation was important for compliance purposes. I also ran log reports to see the users who have logged on to SAP and those who did not, to make sure that all users who were supposed to use the system are doing so.

 

-          With regards to processes, not all was running smooth because customers didn’t fully understand them and they had unique issues pertaining their responsibilities. I asked my supervisor about the possibility of the consultant coming on site for 2 or 3 days for refresher training where he would assist users with their unique issues, which were not clear enough during training sessions that took place. We agreed on having a consultant, and I collected users’ issues and sent them to him before he came, and were addressed with users and individual attention was given to each individual and they felt special. I had another opportunity of learning more from the consultant about exceptions in processes.

 

-          I attended to day-to-day issues for customers like printing problems, user IDs which were locked, documents on the systems that are not allocated to individuals etc. and I escalated as necessary.

 

-          I setup a central repository where SAP documentation on processes was located. This directory contained step-by—step processes which users can refer to, it was more of a reference material.

 

-          All the above was performed in SAP system, ITSM call logging, MS Word documents and AS400 system which is a legacy system.
